What exactly is Call AI?

Can it book service appointments?
Yes, directly into schedulers like Xtime, with automated text confirmations. Think of it as service-BDC coverage for peak overflow: the 7–9 AM rush and the end of day.
When does it transfer to a human?
For complex requests outside its lane: vehicle status updates, cancellations, or “I want to talk to a person.” Transfer targets are yours to define: managers only, never individual reps, or take a message without promising a callback.
Won’t it sound robotic or laggy like other voice AIs?
No. Matador runs parallel AI models: one holds the conversation while others fetch data, so responses land near-instantly with no awkward pauses. One caller at a BMW store spoke with it for 15 minutes without realizing it was AI.
What if the caller asks about a vehicle we don’t have?
Switch-unit logic. It first asks what drew them to that vehicle, then suggests alternatives in priority order: make and model, body style, trim, engine, year, mileage, features, price. If the caller names a budget, price jumps to the top of the list.
What does my team get after an AI-handled call?
The full call recording plus an AI-generated summary: who called, what they wanted (sales, service, parts), and their contact info. Context before the callback, not after.
What does our phone system need?
Forward calls to the AI. Don’t “park” them. Forwarding preserves caller ID, which powers lead tracking and call summaries. And your phone tree must point at your current Call AI number: a stale number silently disables the product.

Can we edit the AI’s prompts ourselves?
